Last updated 28 October 2026.

J. Ben G is run by Josh Goulding, a UK sole trader. This page explains, in plain English, what personal information we collect, why, who we share it with, how long we keep it and what your rights are. "We" means J. Ben G.

This website

This website has no accounts, no forms and no analytics, and it does not set cookies. It does not sell personal information. It does not take payments or orders at the moment.

Like any website, it is served by a hosting company, which receives technical details such as your IP address and the page you asked for. The pages also load fonts from Google, so Google receives your IP address when a page loads. BengStock Online loads the same fonts from Google. If you email us, we use your message and contact details to reply, and for no other purpose. We do not add them to a mailing list.

Who is responsible for what

  • Your account, and our own records (login, security, support and plan details): we decide how this information is used, so J. Ben G is the controller.
  • Your customers' and suppliers' details and the other records you put into BengStock Online: your business decides what to enter and why, so your business is the controller. J. Ben G only stores and processes this information for your business. If someone asks you about their details in your records, that request is for your business, and we will help you answer it.

BengStock Online: what we collect

BengStock Online is not open for sign-up yet. This section describes what the service collects once it opens; some features are still being released.

If you have a BengStock Online account, we collect and store:

  • Your account: your name, your email address, your business name and a password. We store the password only as a one-way hash, never as plain text. We also store your role (for example owner or staff), whether your account is active and when you last logged in.
  • Your business details: your plan and its status, billing interval, storage and user limits, VAT settings, industry, and contact details such as a contact name, phone number and address, where you give them. If you add your VAT number or bank details so they print on quotes and invoices, we store those too.
  • Your customers' and suppliers' details: names, contact names, phone numbers, email addresses, postal addresses and notes. For suppliers we also store an account reference, VAT number and payment terms, where you add them.
  • Your business records: the stock items, prices, quantities, stock movements (including the reason and the name of the person who made each one), purchase orders, goods received, quotes, invoices and cashbook entries you enter.
  • Support messages: anything you send to us through the app, and our replies.
  • Login and security records: a session token (we keep only a scrambled version of it) so you stay logged in. We also keep a short record of each failed login attempt: the email address used, your IP address, the time, and whether the email belongs to a real account. We use these to slow down people guessing passwords. Records older than about a day are cleared whenever the next failed login is recorded, so a record can stay a little longer if nobody fails to log in again.

The Portal. The Portal is how businesses send purchase orders to each other. Businesses are listed in it by default. If your business is listed, other logged-in BengStock Online businesses can see your business name, industry, phone number and address in the Portal directory. If you do not want to be listed, email us.

Why we use it, and our reason in law

  • To create your account, let you log in and run BengStock Online for you. We need this to provide the service you ask for (contract).
  • To answer your messages and give support. This is part of the service (contract), and it is in our interest to help our customers (legitimate interests).
  • To keep the service secure, for example by limiting repeated failed logins and keeping each business's records separate from other businesses. It is in our interest, and yours, to keep the service and your data safe (legitimate interests).
  • To list your business in the Portal, so other businesses can find you and send you purchase orders (legitimate interests, and the service you ask for).
  • To load this website's pages and fonts (legitimate interests).
  • To send your eBay order and keep our sales records. We use your name, delivery address and order details from eBay to send your order (contract), and to keep our sales records (legal obligation).
  • To meet legal duties, such as keeping records the law requires or answering the authorities, if and when they apply to us (legal obligation).

Your business records belong to your business. We store them so the service works. We do not sell them or use them for advertising.

What our operator can see and do

BengStock Online has an operator area, used by Josh Goulding, for support, security and running the service. In it, the operator can:

  • see each business's name, plan and contact details and its users' names and email addresses, and update the contact details;
  • see recent stock movements across all businesses: the business, the item, the quantity, the reason and the name of the staff member;
  • read the support messages businesses send, and reply to them;
  • pause, reactivate or permanently delete a business.

Cookies

BengStock Online sets one cookie, called bs_session. It keeps you signed in, it is needed for the service to work, and it lasts up to 30 days. You stay signed in for up to 30 days, then you log in again; that is only about staying signed in, not how long we keep your data. We do not use advertising or analytics cookies.

Who we share it with

  • Service providers that host our systems: Vercel hosts this website and BengStock Online, and Neon hosts the BengStock Online database. They handle data for us and only so we can run the service.
  • Google, for the fonts that this website and BengStock Online load.
  • eBay. You buy from us on eBay. If you follow a link to eBay, you leave this site. eBay handles your purchase and payment under its own privacy notice. If you buy from us on eBay, eBay gives us your name, delivery address and order details. We use them to send your order and to keep our sales records, and we share the address with the courier. We keep these records for as long as the law requires (period to be confirmed).
  • Couriers, who receive the delivery address for your eBay order so they can deliver it.
  • Other businesses in the Portal, as described above.
  • The authorities, if the law requires us to.

Some of our providers may handle data outside the UK. We are confirming where, and will list the safeguards here.

Payments

We are not taking card payments on this website or in BengStock Online at the moment. If that changes, we will name the payment provider here before it does.

How long we keep it

  • You stay signed in for up to 30 days, then you log in again. Your account and data are kept while your account is open. Failed login records are cleared after about a day, as described above.
  • We keep your account and business records while your account is open.
  • If a business is deleted, its records are removed from the live database: its users, stock, sales, purchasing, cashbook and support records. Purchase orders held by another business keep the deleted business's name.
  • If you buy from us on eBay, we keep your order records for as long as the law requires (period to be confirmed).
  • If you ask us to delete your account, we will delete or anonymise your data unless we have to keep something by law.

We are still setting fixed retention periods for closed accounts, and we have not confirmed how long copies in our hosting providers' backups and logs last. We will add them here when they are decided.

Your rights

Under UK data protection law you can ask us to:

  • tell you what we hold about you and give you a copy;
  • correct anything that is wrong;
  • delete your data, where there is no reason for us to keep it;
  • limit how we use it, or object to a use;
  • give you your data in a form you can move.

Email us and we will reply within one month. If you are unhappy with how we handle your information, you can complain to the Information Commissioner's Office at ico.org.uk. We would like the chance to put it right first.
